Pilot providers can confirm funded child or adult places without a family payment. Each confirmed place creates a separate Oakline fee.
Use Funded Sessions when a funder pays your organisation directly for each booked place, outside Oakline. The amount you enter is the funded amount per place used to calculate Oakline's fee. It is not a price charged to the family.
Funded Sessions are currently available only to enabled pilot providers with GBP accounts. They can be used for eligible single sessions, recurring dates and blocks. Children, adults or both can attend. A booking that covers several dates creates a place for each selected person on each date.
Funded Sessions do not apply to party or credit sessions, organisation-only bookings, deposits or sessions set up as one booking per family. Funded bookings cannot include extras, shop products, vouchers, account credits or payment plans. Families must book funded and paid sessions separately.
If the Funded session option is unavailable, ask Oakline to check whether your provider account is in the pilot. Once a session has booking history, its funded or non-funded mode cannot be switched. Create a new session if you need a different mode; editing the funded amount affects future bookings only.
The session is labelled Funded session · no family payment. The family selects the people attending and confirms the dates. Oakline records one confirmed place per selected child or adult, updates capacity and the register, and sends the normal booking confirmation. Child records remain attached to child bookings.
There is no payment choice, £0 card charge, cash-paid status or Stripe Checkout for the family. Their booking appears as a Funded place in My Bookings. A funded session cannot be combined with a paid session in the same checkout.
Each confirmed place creates one Funded Sessions entry in Fee Bank. The fee is the funded amount per place multiplied by the Oakline percentage applicable when that place is confirmed. Oakline saves both values and the calculated fee with the booking, so later changes to the session amount or fee rate do not change earlier entries.
The fee belongs to the UTC month when the place was confirmed, which may differ from the month of the session. It is due for a confirmed place even if the person does not attend. Attendance changes do not remove the fee.
If a cancellation is processed before the session starts, the fee is waived. The original entry remains visible. If it has already been included in an invoice, Oakline records a single negative adjustment for a later billing period rather than editing the issued invoice. A cancellation after the session starts does not remove the fee. The family's ability to cancel through their account still follows the session's cancellation settings.
In Fee Bank → Funded Sessions, review the booking, session date, funded amount, rate, fee period and billing state. The totals distinguish fees accrued and awaiting invoice, included in an unpaid invoice, and invoices paid. Funded fees are separate from cash booking fees.
The funder pays your organisation directly; Oakline does not collect that funded amount or invoice the family. Automatic Stripe invoicing for Funded Sessions is currently switched off. Fees are recorded in Fee Bank, but the monthly invoice process is not sending invoices during the pilot. Oakline will confirm the billing arrangements before enabling it.
When monthly invoicing is enabled, an Oakline invoice to your organisation will cover only Oakline's fee, with the period and sessions itemised. A month with no net fee will not create a Stripe invoice. Invoice payment status will then be reflected in Fee Bank.
