Party Sessions

Party Sessions are designed to help you manage birthday parties in a simple, organised, and automated way — from bookings and payments to guest information and invitations.

Unlike regular sessions, Party Sessions allow parents to plan a private event, invite guests, and manage all details in one place.

What is a Party Session?

A Party Session is a special type of session created specifically for birthday parties. It works as a template that parents use to plan their party.

Once created, parents can:

  • Choose a party date
  • Pay a deposit
  • Invite guests using a unique link
  • Manage guest numbers and extras

All guest information is automatically linked to the party.

Creating a Party Session

  1. Go to SessionsCreate New Session.
  2. Select Session Type: Party.
    • This unlocks all party-specific settings.
  3. Complete the standard session details:
    • Session name (e.g., "Forest Birthday Party")
    • Location and Google Maps link
    • Base price
    • Capacity and Age range
    • Start and End dates
    • Description and Image

Once saved, this session becomes a party template available to parents.

Party Configuration (Extras & Pricing)

In the Party Configuration section, you control how flexible the party booking is.

Max Extra Guests

Defines how many additional children parents can add beyond the base capacity.

Price per Extra Guest

The price applied automatically when parents increase the number of guests. Parents manage this themselves during booking, and the system recalculates the total instantly.

Deposit and Payment Settings

In Party Payment Settings, you define how payments work.

Deposit Required

Set the amount that must be paid online at the time of booking.

Remaining Balance Options

Choose how the remaining balance can be paid:

  • Offline only (cash or bank transfer on the day)
  • Online card payment (via Stripe)
  • Customer choice (online or offline)

You can also set a Cancellation deadline and Refund policy. This gives you full control while keeping the process clear for families.

What Parents See: “Plan a Party”

Once a Party Session is active, parents will see a “Plan a Party” option in their dashboard.

From there, they can:

  1. Select the party date.
  2. Pay the deposit.
  3. Share a unique invitation link with guests.

All guest data is visible to the organiser and the provider in real time.

Guest Invitations and Registration

Guests join the party using a secure invitation link.

  • If the guest already has an account, they log in and accept the invitation.
  • If the guest does not have an account, they complete a quick registration first.

All guests are asked to complete:

  • Dietary requirements
  • Allergy information
  • Medical details

This information is automatically linked to the party.

Managing the Party

From My Bookings, you can see:

  • All children attending the party
  • Guest confirmation status
  • Dietary and allergy information
  • Extra guests and updated payments

There is no need for spreadsheets, manual lists, or chasing forms.
