Viewing Bookings

Overview

The All Bookings page is your central hub for managing attendance and payments. It has been redesigned to clearly separate upcoming sessions from past history and cancellations.

Tabs Structure

1. Upcoming

Use for: Daily operations—seeing who is expected.

  • Shows all Active bookings for today and future dates.
  • Sorting: Ordered by Date Ascending (soonest sessions first).
  • Filters: Use the dropdowns to filter by specific Session or Month.

2. Cancelled

Use for: Audit and financial checks.

  • Contains ALL cancelled bookings, regardless of date.
  • Includes both Refunded (money returned) and Void (cancelled without payment/refund) bookings.

Understanding the List View

The summary table provides a quick overview of each session:

  • Bookings / Pending: Displays the number of confirmed bookings followed by the number of pending bookings (e.g., 8 / 2).
  • Extras: Indicates "Yes" or "No" if any bookings in that session include extras (e.g., Early Drop-off).
  • Total Revenue: Sum of confirmed payments (excluding pending).

Filtering by Pending Payments

Click Pending Payments on the dashboard (Quick Actions or the KPI card) to go directly to the bookings list filtered to show only sessions that have outstanding pending payments. You can also navigate there manually via Bookings — the filter is applied automatically from the dashboard link.

Messaging a Parent Directly from Bookings

When you click View on a session to see its family list, each parent row shows their email address. Click the email address to go directly to the Messages page with that parent pre-selected, ready to send a message without having to search for them manually.

Booking Statuses

The detailed list displays two distinct status columns:

Column Badge Meaning
Booking Status <span style="color:green">Active</span> The child is expected to attend (or did attend).
<span style="color:red">Cancelled</span> The booking has been removed. The child should not attend.
Payment <span style="color:green">Paid</span> Payment was successfully captured via Stripe.
<span style="color:grey">Refunded</span> Money has been returned to the customer.
<span style="color:blue">Cash</span> Payment was marked as Cash / Offline.
<span style="color:orange">Pending</span> Payment hasn't been finalized yet.

[!NOTE] Active Badge Color: The "Active" badge matches your tenant's brand color to distinguish it from the standard green "Paid" badge.

Daily Registers

To view a printable register or a quick list for a specific day:

  1. Click the Daily Registers tab (far right).
  2. Select a date.
  3. Click "Find".
  4. You will see a list of sessions running that day with an option to Take Register.
