Using Learning Journey

Overview

Learning Journey lets you keep a light record of what happened on a session day and share it with families. It is designed for Forest School style provision: quick, natural, and centred on attendance, moments and reflections rather than formal assessment.

Families can use it as a record of the sessions their child attended. Notes and photos can be added when useful, but they are not required for a session to appear.

Where to Find It

In the tenant dashboard, open Learning Journey from the main menu.

You can also open it from:

  • a session register
  • a session day listed as ready for a note

How It Works

Learning Journey is based on a specific session date.

For each session day, Oakline can show:

  • the session name
  • date and time
  • children marked as present
  • a general session note
  • optional individual notes for children
  • session photos tagged to children

Before You Start

Take the register first.

Only children marked Present can be used for individual notes or photo tags. Children marked absent are not included in that session day for family viewing.

Writing a General Note

Use the General session note field for a short summary of what happened.

This can be simple, for example:

  • what the group explored
  • a moment of teamwork
  • a seasonal observation
  • something the children built, made or discovered

The note does not need to be long.

Adding Individual Notes

Under Children present, click Add note next to a child.

Individual notes are optional. Use them when there is something specific to share about that child.

Publishing

Use Save draft while the entry is still being prepared.

Use Publish when it is ready for families.

Draft entries are not shown to families. Published notes are visible to the relevant families.

What Families See

Families see Learning Journey from their parent dashboard.

For each child, they can select a date range and view:

  • all attended sessions in that range
  • dates and times
  • published session notes, if available
  • individual notes for their child, if available
  • photos where their child has been tagged

Families only see records linked to their own children.

Important Notes

  • A session can appear for a family even if no note has been written, as long as the child was marked present.
  • Photos are shown only to families whose child was tagged in that photo.
  • If the register changes, the Learning Journey view updates based on the child attendance record.
