Session Photos and Photo Consent

Overview

Session photos can be uploaded inside Learning Journey and shared with families when their child is tagged in the photo.

This keeps photo sharing connected to attendance and consent.

Uploading Photos

  1. Open the session day in Learning Journey.
  2. Go to Session photos.
  3. Click Choose photos.
  4. Select one or more images.
  5. For each image, tag at least one child who is present in the session.
  6. Click Upload photos.

Oakline compresses photos before storage to make uploads faster and reduce file size.

Photo Limit

Each session day can have up to 20 photos.

If you need to share more, choose the clearest photos that best represent the day.

Tagging Children

Every photo must be tagged to at least one child.

Families only see photos where their own child has been tagged. They cannot see photos tagged only to other children.

Photo Consent Protection

Oakline checks the photo permission recorded on each child profile.

If a child without photo consent is tagged, the upload is blocked and the photo is not shared.

You should still use normal safeguarding judgement when taking and selecting photos.

Supported Image Types

Use:

  • JPG
  • PNG
  • WebP

Some phone formats, such as HEIC, may not upload unless converted first.

Deleting Photos

Admins can delete a photo from the session day.

Deleted photos are removed from the Learning Journey view and are no longer available to families.

Best Practice

  • Take the register before uploading photos.
  • Check photo consent before taking close-up images.
  • Tag only the children clearly shown in the photo.
  • Avoid uploading photos that include a child with no consent.
  • Use Learning Journey photos for family sharing, not public marketing.
