Enabling and Managing Cash Payments

Oakline allows you to accept cash payments (or other offline methods like bank transfer) by enabling the Cash Payments option. This feature is useful if you want to offer flexibility to customers who may not want to pay via card online.

Enabling Cash Payments

  1. Log in to your Tenant Admin Dashboard.
  2. Navigate to Settings > General.
  3. Scroll down to the Payment Options section.
  4. Toggle the switch for Enable Cash Payments to the On position (blue).
  5. Click Save Settings at the bottom of the page.

Once enabled, a "Pay with Cash" option will immediately appear in the booking checkout window for your customers.

Per-Session Configuration

You can also enable or disable cash payments for specific sessions. For example, you might want to accept cash for your "After School Club" but require online payment for a "Birthday Party".

  1. Edit the Session (or create a new one).
  2. Look for the Allow Cash Payment checkbox (usually below the Price).
  3. Uncheck it to force online payment for that specific session, even if cash is enabled globally.

How it Works for Customers

When a parent or customer makes a booking:

  1. They select their sessions and participants as usual.
  2. In the "Payment Method" step, they will see two options:
    • Credit/Debit Card (processed via Stripe)
    • Pay with Cash
  3. If they select Pay with Cash, they can confirm the booking immediately without entering card details.

Managing Cash Bookings

Bookings made with cash are tracked differently in your system:

  • Status: Cash bookings appear with a distinct Cash status badge in your Bookings list.
  • Payment Collection: The system does not track the actual handover of cash. It is your responsibility to collect the money from the customer (e.g., at the door or via bank transfer).
  • Notifications: You will receive an email notification for every new booking, specifying that the payment method was "Cash".

Note: Since cash payments are handled offline, refunds for these bookings must also be handled manually by you. The system will not process any automatic refunds for cash bookings.
